0intelligence layers

Experience, reasoning, enterprise knowledge and connected actions working as one system.

0core capabilities

Knowledge, support, documents, search, workflows, agents, integrations and governance.

0° context

Bring together the relevant conversation, knowledge, user role and system state for better responses.

0assistant layer

A consistent AI experience across the information and workflows users previously had to navigate separately.

Smart Assist enterprise capability

One intelligent layer across knowledge, support and work.

Smart Assist can begin as a focused knowledge assistant and grow into a connected AI operating layer—without forcing you to replace the applications, repositories and business systems that already hold important data and process logic.

01 / KNOWEnterprise knowledge assistant

Help users find answers across approved policies, documents, websites, records and internal knowledge.

02 / SUPPORTCustomer & employee assistance

Resolve common questions, guide users through processes and hand off complex cases with context.

03 / ACTConnected AI workflows

Use approved tools and integrations to create requests, update records, prepare work and coordinate actions.

04 / GOVERNControl, evaluation & insight

Design permissions, monitoring, feedback, escalation and measurable quality into the AI experience.

From information overload to intelligent assistance

The problem is rarely a lack of information. It is finding the right information at the right moment.

Business knowledge is scattered across websites, shared drives, PDFs, policies, emails, CRM records, service systems, databases and the experience of individual employees. Users waste time searching, switching applications, repeating questions and reconstructing context before they can act.

Smart Assist creates a conversational layer across that environment. It can understand a request, retrieve approved context, generate a useful response, reference its sources, connect to permitted tools and route the user to a person when the situation needs human judgement.

01 / ASKWhat does the user need?

Natural-language conversation captures intent without forcing users to know which system or document holds the answer.

02 / KNOWWhat context is trusted?

Approved content, permissions and retrieval rules bring relevant organisational knowledge into the interaction.

03 / REASONWhat is the best response?

AI combines the request with retrieved context, business instructions and conversation state.

04 / ACTCan work move forward?

Connected tools can support approved tasks, updates, requests and multi-step workflows.

05 / IMPROVEWhat should get better?

Feedback, unanswered questions, escalations and evaluation data expose where knowledge or workflows need improvement.

Business outcomes

Reduce the distance between a question and useful action.

The value of an AI assistant is not the conversation itself. It is the time saved, the consistency created, the support demand reduced and the work that moves forward with less friction.

01

Faster answers

Help users find relevant information without manually searching across folders, websites and multiple applications.

02

Lower repetitive support load

Handle common enquiries and process guidance while preserving escalation paths for situations that need people.

03

More consistent guidance

Ground responses in controlled knowledge and centrally managed instructions rather than individual memory.

04

Less application switching

Bring knowledge and selected actions into one conversational experience instead of forcing users through multiple systems.

05

Better knowledge visibility

Use unanswered questions and low-confidence topics to identify missing, outdated or hard-to-find organisational information.

06

AI with operational control

Combine permissions, evaluation, source grounding, approval and human escalation so useful automation remains accountable.

Enterprise AI architecture

The assistant is only the interface. The real value is the system behind it.

A dependable AI assistant needs more than a model. It needs trusted knowledge, identity and permissions, retrieval, business instructions, connected tools, evaluation and a clear operating model for risk and human oversight.

Trust is an engineering requirement

Useful AI needs context, boundaries and a safe path when it does not know.

We design Smart Assist around how confidence, permissions, sources, actions and escalation should work—not simply around how impressive a model sounds in a demo.

01

Ground answers in approved sources

Retrieve relevant organisational information before generating a response, with source visibility where the experience requires it.

02

Respect user permissions

Design knowledge and system access around identity, role and authorised data rather than giving every user the same context.

03

Escalate when judgement matters

Recognise when a request should be handed to a person and preserve the interaction context to reduce repetition.

04

Control what actions AI can take

Use defined tools, validation and approval checkpoints instead of unrestricted access to business systems.

05

Evaluate before and after launch

Test representative questions, edge cases and workflows, then monitor real usage for quality and failure patterns.

06

Improve knowledge with evidence

Turn repeated questions, low-confidence answers and escalations into a practical backlog for content and process improvement.

Connect Smart Assist to the business

An assistant becomes far more useful when it can reach the systems where work already happens.

We design integrations around the information and actions required for each use case. Some connections are read-only for knowledge retrieval; others can support controlled workflows, approvals or updates where the business case and governance justify it.

Start focused. Scale what proves useful.

You do not need to automate the whole business on day one.

The strongest AI programmes usually begin with a narrow problem that has clear users, accessible knowledge and measurable value. Smart Assist can start as a secure knowledge assistant, prove adoption and quality, then expand into deeper integrations and action workflows.

That staged approach keeps the operating model understandable while exposing the content gaps, integration needs and governance decisions required before broader automation.

Frequently asked questions

Practical answers before deploying an enterprise AI assistant.

The right design depends on who will use Smart Assist, what knowledge it can access, what actions it may take and how the organisation wants uncertainty, privacy and human oversight handled.

Discuss your Smart Assist use case
What exactly is Smart Assist?

Smart Assist is Crown Technologies' enterprise AI assistant platform. It can combine conversational AI, approved organisational knowledge, document intelligence, system integrations and governed workflow actions for customer-facing or internal use cases.

Is Smart Assist just another chatbot?

No. A simple chatbot may only answer predefined or generic questions. Smart Assist can be designed around enterprise knowledge retrieval, user permissions, source-aware answers, system integrations, human escalation and controlled actions.

Can it use our own documents and policies?

Yes. Approved content can be indexed or retrieved from suitable repositories so the assistant can answer from organisational information. We first define source ownership, permissions, freshness and what content should be excluded.

How do you reduce hallucinations or incorrect answers?

There is no responsible way to promise that generative AI will never be wrong. We reduce risk through grounded retrieval, source visibility, instructions, permission controls, evaluation, confidence-aware fallback, monitoring and human escalation for higher-risk situations.

Can Smart Assist connect to CRM, ERP or ticketing systems?

Yes, where suitable interfaces and permissions are available. Integrations can be read-only for context or can support approved actions such as creating cases, updating records, checking status or triggering workflows.

Can it perform tasks instead of only answering questions?

Yes. Smart Assist can use defined tools and agentic workflows to support multi-step work. For consequential actions, we can require validation, confirmation or human approval before execution.

Can different teams have different assistants or permissions?

Yes. Experiences can be separated by audience, role, knowledge source, tool access, tone and workflow. A customer assistant should not automatically have the same access as an internal employee or specialist assistant.

Can we start small?

Yes. A focused knowledge or service use case is often the best starting point. Once answer quality, adoption and value are proven, integrations and agentic actions can be added in controlled stages.

From information retrieval to intelligent work

Give people one place to ask, understand and act.

Smart Assist brings together the knowledge users need, the context of the current conversation and the approved systems that can move work forward—creating an AI experience designed around the business rather than around a standalone model.
